Administrative Specialist 2 – Immediate Interviews!
Location: Portland, Oregon – Local Candidates Only

Positions Details:

  • Schedule: Monday – Friday, 8am to 5pm, 1 hour lunch
  • Duration: 6 months, subject to change, may extend
  • Wage: $23.26/HR
  • On Site for the first 1-2 months, possibility of Hybrid afterwards

Qualifications / Requirements:

  • Manage administrative workflow for the Director of Operations
  • Manage and coordinate the calendars and scheduling and ensure materials are provided in advance of meetings or conferences.
  • Manage and coordinate meeting and conference planning as directed by the Director of Operations
  • General Administrative and Office Support:
  • Assist with equipment and resource requests.
  • Process Mail
  • Serve as backup to answer phones and receive visitors from the public.
  • Prepare, submit, and coordinate facility and equipment work orders.
  • Provide technical assistance, set-up, and support on remote meeting technologies (webinars, Teams etc.
  • Serves as a general resource person and administrative problem solver to staff at all levels both internally and externally.
  • Creating and maintaining staff schedules, rosters, mailing lists, and email groups for multiple groups.
  • Designing, creating, and maintaining databases and reports to organize data from meetings for easy access and distribution.
  • Provide technical assistance, set-up, and support on remote meeting technologies
  • Proficient with Microsoft outlook, Microsoft teams, Excel.
  • Proficiency in using Microsoft Teams and Zoom for remote meetings.
  • Experience with web editing.
  • Experience taking meeting minutes.
  • Ability to listen and synthesize information to create official meeting records.
  • Knowledge and experience in the principles and practices of executive administrative support is required for this position.
  • Excellent written and verbal communication skills demonstrated ability to develop organizational systems and tools and the ability to manage time and multiple competing assignments is required.
  • Experience in and understanding of state, local, and federal government systems and operations is desired.
  • Ability to demonstrate positive and professional rapport with all staff and partners.
  • Approaches work with a customer-service approach.
  • Technology skills set to keep all data secure whether working onsite or remotely.
  • Other duties as assigned

 
Top criteria for successful candidates:

  • Able to prioritize when multiple tasks are assigned
  • Comfortable working in a fast-paced environment
  • Experience supporting Management required; Executive Team preferred
  • Proficient at an expert level in all Microsoft Office products, and adept at learning and using new software is required
  • Excellent written and verbal communication skills, demonstrated ability to develop organizational systems and tools and the ability to manage time and multiple competing assignments is required
  • Ability to demonstrate positive and professional rapport with all staff and partners.
  • Creates and maintains a work environment that is welcoming and respectful of diversity.
  • Excellent attendance and punctuality
  • Be 18 or older.
